Therefore, if this data is not made available to us, we will not be able to attend to you correctly or provide you with the service that you have requested.

What information we collect
Personal information means information that can be used to identify and contact you. You do not need to submit personal information to access our website.
We collect information such as your name, contact details, passport details, travel preferences and special needs/dietary requirements that you supply us or is supplied to us, about you and other persons on your booking. We may also keep a record of: the date that you contacted us and how you first found us, booking-related emails and correspondence, tour feedback forms, and details of any previous bookings with us.
By submitting personal information through our website, you authorize to share this personal information for the purposes identified herein, such as responding to user inquiries, processing transactions and deliveries our products.
By providing this information to us we will assume that you have given your consent to the collection of such personal information.
How we collect your data
We collect your information when you request from us more details about our services (tours, courses, prize draws…), contact us by email or phone (and vice versa), make a booking, use our website, connect with us via social media and any other interaction we have with you. We will update your information whenever we can to keep it current, accurate and complete. When you fill out a website form, email us, all the data is collected securely in our database.
When visitors leave comments on the web, we collect the data displayed in the comment form, as well as the visitor’s IP address and the browser’s user-agent chain to help detect spam.
You can choose not to provide certain information, but then you might not be able to take advantage of many of our features.
How we use the information we collect
- Purpose: to provide a means for you to contact us and for us to answer your requests for information, and to send you information about our products, services and activities, including by electronic means (email, SMS, WhatsApp), if you check the acceptance box.
- Legal basis: the consent given by the users when they request information through our contact form, and when they check the acceptance box for sending information.
- Storage: once your request has been resolved by means of our form or answered by email, if no new processing has been generated, and if you have agreed to receive commercial mail, until you request cancellation of this.

- Purpose: to reply to your requests for information, attend to other requests and reply to your enquiries or doubts.
- Legal basis: the consent given by the users when they request information through the email address.
- Storage: once your request has been answered by email, if no new processing has been generated.
Forms for contracting services
- Purpose: to register you as a client and manage your orders.
- Legal basis: the consent given by the users when they register through our registration form, and when they check the acceptance box for information to be sent to them.
- Storage: until the users request cancellation of their registration or subsequently during the legally established periods.
- Purpose: register as a user, manage your request to send invoices for our services.
- Legal basis: the user’s consent when making the request through the form and by checking the acceptance box for sending information.
- Storage: until the interested party revokes the consent and requests the withdrawal of the service and during the legally required periods.
Subscription to our newsletter
- Purpose: to send you our sales, information and advertising bulletin about our products or services of your interest.
- Legal basis: the consent given by the users when they subscribe to receive our commercial mail and/or newsletters.
- Storage: until the interested party revokes his/her consent and asks for the service to be discontinued.
To be able to supply you with our services, including your flight, holiday, security, incident/accident management, etc., we may disclose and process your information outside the UK/EEA. In order for you to travel abroad, it may be obligatory to disclose and process your information for immigration, border control, security and anti-terrorism purposes, or any other purposes which are deemed as appropriate. Most countries will only permit travel if you provide your advance passenger information (passport details), although these requirements may differ depending on your destination and you are advised to check.
Information such as health may be viewed as “sensitive personal data” under the Data Protection Act 1998. We collect it to provide you with our services, cater to your requirements or act in your interest, and we are only willing to accept sensitive personal data on the provision that we have your positive consent. By booking with us you also agree for your insurers, their agents and medical staff to exchange relevant information and sensitive personal data with us in situations where we/they need to act on your behalf or in the interest of passengers or in an emergency.
If you do not agree to our use of your information as described above, we cannot accept your booking.
How long do we keep your data
Whenever we collect or process your personal data, we’ll only keep it for as long as is necessary for the purpose for which it was collected or the law requires. The time period for which we keep data depends on the data type. Most of our data is retained for 2 years. Legally, some financial information must be kept on our files for 6 years. Data is not kept on our systems for longer than is needed, and is periodically reviewed and removed.
Your data will be processed during your relationship with TUBW. Once our relationship is finalized, we shall keep your data duly blocked for the period barring any civil, criminal, commercial and/or administrative proceedings.
TUBW will hold your personal data for the time you remain registered and using our services. However, in case you do not actively use your account or any of our services for a 2-year period, we shall cancel Your Account and thus, block your data. If at a later date you wish to start using any of our services again, you will have to sign up as a new user.
We have made every effort to ensure your data is stored and processed securely.
What is the TUBW Registration (Your Account)?
Some of our services and / or products require an online account. As far as you voluntarily use our online services, we process your data with your consent in accordance with the General Data Protection Regulation (GDPR).
If you do not provide the mandatory information required by the registration form, you will not be able to register or create an account on our website and you will not be able to purchase our products or reserve our services.
How do I delete my account and personal data on TUBW website?
If you wish to cancel your account, please log into your account and click on the “Account details” tab, then scroll to the bottom to see the red “Delete My Account” button, or email us at webmaster[@]theurbanbirderworld.com.
Deletion of your account and personal data is permanent and cannot be undone. TUBW will not be able to recover your account or the data that is deleted. Any purchase or booking made will be deleted.
In addition, unused user accounts are deleted after a period of inactivity of 2 years.
Recipients of your data
Your data is confidential and will not be assigned to third parties, unless this is required in order to manage the services contracted or there is a legal obligation to do so. We never sell or rent data to third parties. When you book, this data will be passed on to your agent on the ground to ensure you have a safe tour, and your arrangements are held.
We use the information that is provided to us only for the reason it was gathered. We may use your information to process your enquiry, ask for feedback on our services, market new tours (when permitted by you), notify you of changes to your booking, or plan your holiday.
We only permit suppliers to process your personal data for specified purposes and in accordance with our instructions.
The following are some examples of how we may share or disclose your Personal Information.
Sharing with third parties
To fulfil a service to you. For example, if you purchase a product from our website we may need to share your data with third parties in order to have that product delivered to you.
If you email us a question, we may use your email address to process your request and respond to your question.
If you are entering a competition or prize draw, we may use your Personal Information in order to fulfil the terms of that promotion.
Legal Process. We may disclose your personal information to legal or government regulatory authorities in response to their requests for such information.

When you send us your blog and images, you are giving us permission to upload them onto the blog section of our website. We may also ask you if we can use your images for marketing purposes (throughout the website and in our digital newsletter, as well as on social media such as Facebook, Instagram and Twitter). We will always credit and tag these articles. The blog will include your name, photos and the content you have written for the blog.
